Send Messages to Persons on Your Site

Through the Ease CheckIn app, you can quickly share important information by sending messages to everyone on the site at the same time.


Getting Started

This feature requires the Standard or Plus product package.

When the messaging feature is activated for your site, the Messages option will appear in the main menu on the left.


Settings

Before you can create and publish messages, the following settings must be enabled:

  • Activate Ease CheckIn on the site

  • Link account (follow the green link in Infobric Site)

Once this is done, the New message option will appear in the app.


Manage Recipients

Before publishing messages, make sure that the persons on-site can be reached. Ensure they have up-to-date contact details and that the Ease CheckIn app is installed on their phone.

Click All recipients in the left filter menu. By default, all persons who have been on the site at any time are shown.

You can filter the list using:

  • All

  • On-site last 30 days

  • On-site last 7 days

  • On-site today

  • On-site now

This presence filter helps you target the right audience.


If contact details are missing, a warning triangle will appear next to the person.

You can also view all persons missing contact details by selecting Missing contact details in the left filter menu.


Update contact details

Click Complete contact details in the top menu.

A new window will open where you can edit all persons with missing details in one place—without opening each profile individually. This view also includes filters and a search field.


INFO

  • If a person has the app installed, this is indicated by an app icon in the list

  • If a person does not have the app:

    1. SMS is sent

    2. Email is sent
      (depending on available contact details)

The message contains general information about a new message (not site-specific content) and a download link to the app.

  • If a person without contact details is currently on-site, a warning will be shown in the status panel


Write and Publish Messages

  • If it’s your first message, click New message

  • Otherwise, click New in the top menu

A new window will open where you can create your message.


NOTE!
You cannot edit a published message. To make changes, you must archive the message and publish a new one.


TIP!
You can track who has viewed and read your message to ensure it has reached the right people.

  • The number of views is displayed after publishing

  • Click the number to see who has viewed the message and when


Notifications

Notifications use the phone’s built-in notification system.

  • The notification only shows that a new message has been published and for which site

  • The message content is never shown in the notification


This feature can be used based on presence to reach specific groups. For example, in case of an evacuation, you can notify persons who are currently on-site.


Depending on the selected presence filter, you can see how many recipients will receive the notification, categorized as:

  • Reachable via app
    (Users with an app account who do not actively use the app may receive an SMS notification with a delay)

  • Prompted to download the app

  • Not reachable
    (Shortcut available to open the “Complete contact details” window)


If notifications are disabled on the device, the message will only be visible in the app under Messages.
